The Hit List is an Alabama youth travel baseball recognition platform that uses authorized team statistics to calculate rankings, publish recognition, and administer the Ring Program. We limit the information we collect and use safeguards intended to protect information relating to youth athletes, coaches, parents, and legal guardians.
1. Coach Portal Accounts
Team-stat submissions require an approved Coach Portal account. During registration and account administration, we may collect an adult account holder’s name, email address, team, age division, organization, role, email-verification status, approval status, login/session information, submission history, and security/audit events. Passwords are not stored in plain text.
2. Email Verification and Account Approval
Coach Portal registration may require a temporary email verification code followed by administrative approval. Creating or verifying an account does not automatically authorize submissions. The Hit List may reject, suspend, or revoke an account if authorization cannot be confirmed or if misuse or a security concern is detected.
3. Player and Team Information
Approved Coach Portal users may submit official team statistics exported from GameChanger. Information processed may include player name, team name, age division, baseball statistics, Hit List Score, ranking or recognition results, and Ring Program points or eligibility.
Statistics uploads must not intentionally include a youth player’s personal email address, phone number, home address, school information, exact birthdate, Social Security number, medical information, financial information, passwords, or other information unrelated to baseball-stat processing.
4. File Validation and Security Screening
Uploaded files are treated as untrusted until validated. The Hit List may inspect files for accepted format and structure, file size, malformed content, prohibited personal information, spreadsheet-formula risks, duplicate submissions, team/age mismatches, and other security or integrity concerns. Files may be rejected, quarantined, or reviewed when they fail these checks.
5. How We Use Information
- Verify and administer Coach Portal accounts.
- Authenticate authorized team representatives and maintain submission audit history.
- Process official team-stat submissions and calculate Hit List Scores.
- Create Barrel Boys of the Week recognition.
- Create Monthly Top 50 rankings and graphics.
- Maintain the YTD Leaderboard.
- Track Ring Program points, eligibility, standings, and private claim information.
- Review player-removal and visibility requests.
- Protect the website, investigate misuse, and maintain security records.
- Send account verification, security, and program communications.
6. Public Youth-Player Information
We practice data minimization. Public recognition may include player name, team, age division, baseball statistics, Hit List Score, ranking, recognition status, and Ring Program progress where applicable. We do not intentionally publish player contact details, home addresses, exact birthdates, payment information, or other unnecessary sensitive information.
7. Coach Authorization and Parent/Guardian Permission
An approved Coach Portal account does not replace the submitter’s responsibility to have authority to provide team information. Before submitting youth-player information, the account holder must confirm that they are authorized for the team and have obtained any permissions required from the organization, parents, or legal guardians. The Hit List may request additional verification or restrict information when authority or permission is disputed.
8. Removal and Visibility Requests
Parents, legal guardians, and eligible authorized team representatives may request that a player be restricted from specified public recognition areas. Requests may cover Barrel Boys of the Week, Monthly Top 50, and the YTD Leaderboard. Requests are reviewed before changes are finalized.
Approved restrictions generally control future public recognition. They do not guarantee removal of previously published graphics, screenshots, downloads, reposts, or third-party copies. Limited private administrative records may be retained when reasonably necessary for security, auditing, dispute resolution, or program integrity.
9. Ring Program Information
The Coach Portal and Ring Program may display eligibility or private claim information for qualifying players associated with an authorized team. Private claim codes and adult fulfillment information are used only to administer the Ring Program and should not be publicly shared.
10. Security and Technical Information
We may process limited technical information such as login timestamps, failed login attempts, sessions, IP/request information, submission activity, and administrative actions when reasonably necessary to secure the platform. Safeguards may include authenticated Coach Portal access, email verification, administrative approval, secure password hashing, administrator MFA, server-side file validation, restricted administrative access, security logging, and backups.
11. Data Sharing
The Hit List does not sell or rent youth-player or Coach Portal personal information. Information may be processed by service providers when reasonably necessary for website hosting, email delivery, security, backups, or other technical operations. Information may also be disclosed when required by law or reasonably necessary to protect users, youth participants, The Hit List, or others.
12. Data Retention
We retain information only as long as reasonably necessary to operate the recognition programs, maintain ranking and Ring Program integrity, administer accounts, resolve disputes, investigate security events, process removal requests, meet legal obligations, and maintain appropriate backups.
13. Parent and Legal Guardian Requests
A parent or legal guardian may request review, correction, or removal of their child’s public information. We may request reasonable information needed to verify that the requester is authorized to act for the player before changing or disclosing information.
14. GameChanger and Independent Platform Status
The Hit List is an independent platform. References to GameChanger describe the source or format of submitted statistics and do not imply sponsorship, endorsement, affiliation, or partnership unless expressly stated in writing.
15. Changes to This Policy
We may update this policy as the Coach Portal, recognition programs, security controls, or legal requirements change. Material updates will be reflected by the effective date shown above.
